Sustainable Fitness, LLC ("Sustainable Fitness", "we", "us") runs this website, hosts retreats, and offers coaching and sound bath sessions from Aloha, Oregon. This policy explains what personal information we collect, how we use it, and the choices you have.

Information we collect

Information you give us:

  • Contact details. When you send a message, schedule a call, or ask to hear about retreats, we collect your name, email address, phone number if you give it, and what you write to us.
  • Booking details. When you reserve a place on a retreat, we collect your email address, the names of the people attending, any email addresses you give for them, and the places you choose.
  • Payment details. Payments are processed by Stripe. Your card or bank details go directly to Stripe, and we do not store them. We receive confirmation of the payment, the amount, and the billing details Stripe shares with us.
  • Testimonials. If you share a testimonial or photo for us to publish, we show it with the name you agree to.

Information collected automatically when you use the site:

  • Device and usage information, such as your browser type, the pages you view, the time of your visit, and your IP address.
  • Cookies and similar technologies, described in the section "Cookies and analytics".

How we use your information

  • To take and manage retreat bookings, including confirmations, reminders, room assignments, check-in, cancellations, and refunds.
  • To answer your questions and provide coaching, sound bath, and other services you ask for.
  • To send you news about upcoming retreats when you have asked to receive it.
  • To let you sign in to view and manage your reservations.
  • To understand how the site is used, keep it working, and improve it.
  • To meet legal, tax, and accounting obligations and to prevent fraud.

Cookies and analytics

We use a small number of cookies and similar technologies:

  • A sign-in cookie that keeps you signed in after you open the secure link we email you. It is required for managing a reservation.
  • Analytics and performance tools, including HubSpot, Google Analytics, and New Relic, which record visits, page views, page speed, and errors.
  • The Meta Pixel, which tells Meta (Facebook and Instagram) that a page was viewed so that we can measure and improve our advertising.

You can block or delete cookies in your browser settings. If you block the sign-in cookie, you will not be able to manage a reservation online, and you can contact us instead.

Who we share information with

We share personal information only with the companies that help us run the business, and only as needed for that work:

  • Stripe, for payments and refunds.
  • Microsoft Azure, for sending booking, sign-in, and contact emails.
  • HubSpot, for scheduling calls and managing contacts.
  • Netlify and Prismic, for hosting the website and its content.
  • Google, Meta, and New Relic, for the analytics and advertising measurement described in this policy.
  • Retreat venues, when they need attendee names for rooms, meals, or check-in.

We may also share information when the law requires it, or to protect the rights and safety of our guests, the public, or Sustainable Fitness. We do not sell your personal information for money. Some laws treat the use of advertising tools such as the Meta Pixel as "sharing" personal information; you can ask us about opting out using the contact details in this policy.

How long we keep information

We keep booking and payment records for as long as we need them for the retreat and for tax and accounting purposes. We keep messages and contact details for as long as we are in touch with you, and we keep your email address on our retreat news list until you ask us to remove it.

Your choices and rights

  • You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it.
  • You can stop receiving retreat news at any time by replying to one of our emails or by contacting us.
  • Depending on where you live, you may have additional rights under your state's or country's privacy laws.

Children

This website is not directed to children under 13, and we do not knowingly collect personal information from them. A parent or guardian must make any booking for a guest under 18.

Security

We use reasonable technical and organizational measures to protect your information, including encrypted connections and limiting who can see booking records. No website or email system is completely secure, so we cannot guarantee absolute security.

Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the date at the top.
